ePortfolio version 3 Release notes:

The RCGP is pleased to announce that Version 3.0 of the ePortfolio is now live.

This new version includes electronic Annual Review of Competence Progression (ARCP) functionality, improvements to the reviews and bug fixes.  As part of the ARCP functionality Trainees can now make apply for their CCT recommendation directly from the ePortfolio.

The following is a list of new functions and bug fixes:

New Roles:

  • Panel Member: New user for panels; able to see ESR put forward for Trainee and to enter recommendations for signoff.
  • Panel Chair: Able to signoff ARCP as complete.

 

New Functions:

  • Educational Supervisor Review (ESR): Can now be seen by Trainees and Deaneries as well.
  • ESR: New layout to give all information in one place.
  • ESR: Additional fields for more specific feedback.
  • ESR: Can now be marked as complete by Educational Supervisor. Once complete, the review is sent to the trainee for acceptance.
  • ESR: Trainees now sign off completed reviews and receive notification that they have pending reviews to signoff. Once they have signed off a review as accepted, it can no longer be edited.
  • ARCP: This will now be electronic and completed within the ePortfolio.
  • Apply for CCT: This will now send an electronic submission to Certification once all parts have been completed.
  • Review Periods: There are now a number of review choices for Less than Full Time Trainees. These are set for 50% trainees, but can be used for other ratios as well.

 

Changed Functions:

  • CPR/AED certificate signoff: This can now be signed off under the ESR if it is not showing under Progress to Certification for any reason.
  • OOH: OOH sessions still need to be added to the learning log. However due to different requirements in different deaneries and final panels before end of training, the required count of 12 will no longer trigger this as being complete. Instead the Educational Supervisor can sign this off under the ESR. This will allow for requirements to be met before final panels and allow for all circumstances.
  • Post Creation: Several fields when creating a post are compulsory. This is to ensure complete post information is included on Trainee ARCP forms.
  • Increased Storage Space for all trainees.

 

Bug Fixes:

  • Option for non-trainees to produce ticket code removed. This will prevent an error occurring.
  • Option for Trainers to release PSQ results removed. Only Educational Supervisors should be able to do this; when Trainers tried to do so it was causing an error.
  • Apostrophes: Some users had problems with the forms page or logging in if they have an apostrophe in their email address. This has been corrected.
  • End Dates: End dates for various things (ticket codes, posts, reviews) were not working correctly and terminating at the start of the day instead of the end of the day. This has been corrected.
  • Trainer/Supervisor Trainee Summary: Correct evidence will now appear on the summary screen.
  • Upload attachments: It is no longer possible to try to upload an attachment before selecting a file.
  • Upload icons: These will no longer show if an entry does not have an attachment
  • Evidence view: Any period having “miniCEX or equivalent” has been changed to “miniCex or COT” and will now display COTs under the summary.
  • Evidence view: Corrected assessments required per period.
  • Declarations: Trainees will now get a warning if they try to sign declarations without being in a post.
  • Learning Log: Educational Supervisors can now select Alternate Curricula under Validate against Competency.
  • Learning Log: Trainees can no longer edit Learning Log entries that have been marked as read.
  • Deanery Admin View: AKT/CSA/CCT. This now will show your trainees AKT/CSA/CCT progress

 

Bug fixes since version 2:

There have been several bug fixes since version 2 that were released prior to Version 3.  We thought we would list some of them here:

 

  • Evidence Section: Fixed a bug where false PSQ results were appearing on the summary mimicking the number of MSF submitted.
  • Learning Log: Fixed a bug that was causing Curriculum Headings for new entries to appear on an old entry.
  • MSF: Corrected a problem that was causing MSF results to not stay released.
  • Speed: The overall speed of the ePortfolio has been greatly increased. We are still looking at ways to further improve this.
